When to Use Google Drive Backup
Local backups are fast, but they are usually stored near the same computer as the live database. Google Drive backup adds an off-site copy, which is useful if the office computer is damaged, replaced, lost, or affected by a Windows reinstall.
Connect Google Drive
- Open the backup or cloud backup area in School Management Pro.
- Select Connect Google Drive.
- Sign in with the Google account the school wants to use for backups.
- Review the permission screen before approving access.
- Return to the app and confirm the connected account is shown correctly.
Use a dedicated school account where possible. Avoid connecting a staff member's personal account if the school will need access after staff changes.
Create a Cloud Backup
Before uploading, make sure the internet connection is stable and the computer is not about to shut down. Large databases may take longer to upload on slow school connections.
- Confirm Google Drive is connected.
- Select Backup to Cloud.
- Wait until the app confirms that the upload is complete.
- Open Google Drive and confirm the backup file appears in the expected folder.
- Keep a local backup as well; cloud backup should not be your only copy.
Restore from Google Drive
Cloud restore is useful when moving to a new PC or recovering after a device problem. Treat it carefully because the restore can replace the current local database.
- Create a current local backup before restoring.
- Open the cloud restore option.
- Select the correct backup by date and school name.
- Confirm the restore action.
- After restore, check student records, fee entries, and recent reports.
Account and Permission Best Practices
- Use two-step verification on the Google account.
- Keep recovery email and phone details updated.
- Do not share the Google password with unnecessary staff.
- Review connected apps if a staff member leaves the school.
Troubleshooting Uploads
Sign-in Window Does Not Open
Check the default browser, pop-up settings, and internet connection. Restarting the app can also clear a stuck authentication attempt.
Upload Fails or Times Out
Confirm that Google Drive has enough storage space and try again on a stronger internet connection. If the upload repeatedly fails, create a local backup first so the school still has a safe copy.
Wrong Google Account Connected
Disconnect the current account from the app, sign out of the browser if needed, and reconnect using the correct school-owned account.
