Getting Started

A practical first-day setup guide for school administrators.

Start with a Clean Setup

School Management Pro is easiest to use when the basic school structure is entered before daily office work begins. Set aside time to configure the school profile, academic classes, fee rules, and backup location before adding large amounts of student data.

Confirm Purchase and Access

The app is available as a one-time purchase from the Microsoft Store. After purchase, Windows links the license to the Microsoft account used on that device. If the school has multiple office PCs, decide which account and device will be responsible for the primary installation.

  1. Launch the app from the Start Menu.
  2. Confirm that the dashboard opens normally.
  3. Check the purchase or activation screen if the app asks for license confirmation.
  4. Record the support email and app version for future reference.

Set Up the School Profile

The school profile is used on reports, fee documents, ID cards, and printed material. Enter the official school name exactly as it should appear for parents and staff.

  • Add the school name, address, phone number, and email.
  • Upload the school logo if reports or ID cards should show branding.
  • Review spelling and capitalization before printing official documents.
  • Save the profile, close the page, and reopen it to confirm the data persisted.

Create Classes and Sections

Classes and sections should match the way your office collects fees and prepares results. A simple structure makes later filtering, reporting, and bulk operations much faster.

  1. Add each class offered by the school.
  2. Create sections only where they are actually used.
  3. Use consistent names such as A, B, or Morning.
  4. Avoid duplicate class names with small spelling differences.

Add Students Carefully

Student records are the foundation for fees, attendance, exams, ID cards, and reports. Enter a few students first, verify the format, and then continue with the full batch.

  • Use official admission numbers or roll numbers consistently.
  • Keep parent or guardian phone numbers in a standard format.
  • Add class, section, and status while creating the record.
  • Check one printed or exported record before entering the full school list.

Prepare the Daily Workflow

For fast office use, decide who will handle each routine: student admissions, fee posting, expense entry, exam results, and backup. A clear workflow reduces mistakes during busy fee collection hours.

Recommended first-day checklist: school profile saved, classes created, one student record tested, fee setup reviewed, backup location selected, and one test backup created.

Keyboard-Friendly Habits

Use the search and filter fields before scrolling long lists. Keep names and admission numbers consistent so staff can find records quickly. When entering fees or expenses, review the selected student or category before saving because clean data is much easier to report later.
